A homeowner calls on Monday morning. Her new carpet is matting in the hallway, the retailer asked for cleaning receipts, and she wants to know if your invoice from last spring counts. That question is about carpet warranty cleaning requirements, and most cleaners can't answer it on the spot. Mohawk's residential warranty brochure (effective January 2018) requires a minimum of one professional cleaning every 18 months and says owners must show proof "in the form of a bill, invoice or statement." Your paperwork is part of her warranty. If you run your jobs through carpet cleaning software, every visit already leaves a dated record. This guide compiles what the major mills require, what a warranty-ready invoice needs, and how to turn the 18-month clock into repeat bookings.
What do carpet manufacturers require to keep a warranty valid?
Most residential carpet warranties require periodic professional cleaning, usually hot water extraction, at least every 12 to 18 months, plus written proof that it happened. The details differ by mill. Mohawk asks for one professional cleaning every 18 months using products, equipment and services certified with the Carpet and Rug Institute (CRI) Seal of Approval, documented by a bill, invoice or statement. Phenix Flooring's warranty brochure requires professional cleaning at a minimum of every 18 months, defines that as hot-water extraction, and says it must be done by a professional who holds the CRI Seal of Approval. Engineered Floors' DreamWeaver brochure (2024) recommends hot water extraction every 12 to 18 months and requires receipts for that cleaning to file a claim. Beaulieu Canada's care and warranty guide calls for professional cleaning every 12 to 18 months and tells owners to keep all receipts. Across all four, a claim without a paper trail usually goes nowhere.
Manufacturer requirements side by side
| Manufacturer | Cleaning interval | Method named | Proof named |
|---|---|---|---|
| Mohawk | At least once every 18 months | CRI Seal of Approval products, equipment and services | Bill, invoice or statement |
| Phenix Flooring | At least every 18 months | Hot-water extraction by a CRI Seal of Approval professional | Professional cleaning receipts |
| DreamWeaver (Engineered Floors) | Every 12 to 18 months | Hot water extraction | Receipts for professional cleaning, required for claims |
| Beaulieu Canada | Every 12 to 18 months | Hot water extraction preferred; non-cationic products with pH below 10 | All professional cleaning receipts |

Shaw is the outlier. Its care page recommends extraction every 6 to 18 months, while a 2006 Floor Daily report said its warranty required cleaning at least once every two years and, from 2008, an IICRC-certified firm. Tell customers to read the booklet for their style.
Keep this table on the truck. When you log a customer's carpet brand in your carpet cleaning crm software, you know their deadline before they do.

Why carpet warranty cleaning requirements matter to your bookings
Warranty rules give homeowners a reason to book that has nothing to do with how dirty the carpet looks. A family with new carpet has a deadline, and the cleaner who reminds them gets the job.
That deadline also makes repeat revenue easier to forecast. Thumbtack's carpet cleaning cost guide (updated March 31, 2026) puts the national average at $206 per job, with a typical range of $147 to $288. On a fixed cycle, one household becomes a predictable account.
The math on a 10-year warranty clock
Count from the purchase date, which is where the Karastan and Mohawk summary starts the clock. To never go longer than the required interval over 120 months, a household needs the minimum number of cleanings below.
| Required interval | Minimum cleanings in 10 years | Revenue at $206 per visit |
|---|---|---|
| 12 months | 9 | $1,854 |
| 18 months | 6 | $1,236 |
| 24 months | 4 | $824 |

The formula is simple: cleanings = (120 months ÷ interval) minus 1, because the final interval ends when the 10-year term does. Revenue = cleanings × average ticket. These are floors. Customers who add pet treatment or stain protection are worth more, and our guide to carpet cleaning add-on services covers which extras sell best on a return visit.

What should a warranty-ready cleaning invoice include?
A warranty-ready invoice proves who cleaned what, when, and how, in terms a mill's claims team will accept. At minimum it should show the service date, the property address, the rooms and approximate square footage cleaned, the method (hot water extraction, by name), and your company's legal name and contact details. Add the CRI Seal of Approval status of your equipment and solutions if you have it, since Mohawk and Phenix both name the Seal in their terms. Add the IICRC certification number for the technician or firm, because older Shaw terms referenced IICRC-certified firms and many retailers still ask. Note the carpet brand and style when the customer knows it. Then make the record easy to find again. Mohawk tells owners to keep cleaning receipts with the original invoice, and a customer who loses yours will call you for a copy two years later. If you can resend it in under a minute, you look like the professional they should keep hiring.
Fields to add to your invoice template
- Service date and the next recommended cleaning date
- Cleaning method, written as "hot water extraction" rather than "steam clean"
- Rooms and areas cleaned, with any spots that would not release
- Equipment and solution names, plus CRI Seal of Approval status
- Technician name and IICRC certification number
- Carpet manufacturer and style, if known
Setting these up once in carpet cleaning invoicing software means every tech sends the same complete record. Rewrite your template this week. It costs nothing and it answers the retailer's first question.
Photos help too. Capture before-and-after shots and job notes in work order management software so the evidence stays attached to the visit.

Building a rebooking system around the 18-month clock
The best rebooking system for warranty customers is a reminder that fires well before the deadline. Since the most common requirement in the table above is one professional cleaning every 18 months, set your first reminder at month 12 and your second at month 15. That leaves three months of slack for busy seasons, travel and slow replies. For customers whose carpet carries a 12 to 18 month range, such as DreamWeaver or Beaulieu Canada, treat 12 months as the target and 18 as the hard stop. Tie every reminder to the purchase date or the last cleaning date, whichever is later, and store it on the customer record rather than in a tech's phone. When a reminder goes out, it should say why the visit matters: "Your carpet warranty asks for a professional cleaning every 18 months. Your last one was in May." A generic seasonal coupon gives no such reason. This line ties the visit to protecting something the homeowner paid for.
A reminder sequence that works
- Month 12: friendly note with a link to book online.
- Month 15: second note that mentions the warranty deadline.
- Month 17: a phone call from the office for anyone who has not booked.
Letting customers pick a slot themselves through carpet cleaning online scheduling software removes the phone tag that kills most rebooking campaigns.
Check a weekly list of every customer whose last cleaning was 14 or more months ago. Keeping that list in carpet cleaning customer database software means the office sees it without asking anyone.

Mistakes that put a customer's warranty at risk
Using the wrong chemistry
Beaulieu Canada's guide says hot water extraction is preferred, using products that are non-cationic with a pH below 10, and warns that non-approved products can damage carpet. A high-pH prespray on stain-resistant nylon can strip protection and void stain coverage.
Treating rental machines as equal
The Karastan and Mohawk warranty summary (Rev. 11/18) says personal or rental carpet cleaning machines are not equivalent to a professional cleaning. When a customer says they cleaned it themselves, explain the gap politely.
Vague or missing paperwork
"Carpet clean, 3 rooms, $196" won't help a claim. Beaulieu Canada also requires a letter and receipt from a professional cleaner describing the cleaning procedures used and stating that a stain could not be removed. Build that letter as a saved template in your carpet cleaning billing software so the tech can send it from the job.
One missed detail can cost a customer their coverage, and they will remember who cleaned it last. Warranty education is also strong content, and our carpet cleaning marketing guide shows where to use it.
