Step 3) Fill in the estimate details
Add an estimate number and a “valid until” date. Most tree service estimates are valid for 30 days. For storm damage estimates, you may want shorter validity (7–14 days) since conditions and pricing change quickly.
Step 4) Add your line items
Identify each tree by species (if known), size, and location. Do not quote “Tree removal — $2,500.” Instead: “Red oak removal (36-inch DBH, backyard, near fence) — $2,500.” Describe the work for each tree: removal, crown reduction, deadwood pruning, cabling, stump grinding. A good estimate does more than list prices — it sells your professionalism before you pick up a tool. Here is what separates estimates that win jobs from ones that get ignored:
Tree work is high-risk, high-trust work. Customers are hiring you to operate chainsaws and heavy equipment on their property. Here is how to earn that trust:
Do an in-person assessment. Never quote tree work from a phone call or Google Maps. Walk the property, assess each tree, check for hazards (power lines, buried utilities, structures), and evaluate equipment access. Take photos during the walkthrough and reference them in your estimate.
Identify each tree specifically. “Tree trimming — 5 trees — $2,500” is vague. “Red maple #1 — crown clean and shape (40 ft) — $450” is professional. Number or tag each tree on a site sketch if the property has many trees. Customers appreciate knowing exactly which tree gets which treatment.
Explain the work in plain language. Most customers do not know what “crown reduction” or “deadwooding” means. Add a brief description: “Crown clean — remove dead, broken, and crossing branches to improve tree health and appearance.” This educates the customer and justifies the price.
Address safety and liability. Mention your insurance coverage, crew certifications, and safety protocols. Tree work is dangerous — customers want to know they will not be liable if something goes wrong. Include your certificate of insurance with the estimate.
